What information do we collect about you and how?
We collect data about you through a variety of different methods including:
Direct interactions:
Company enquiries
We collect information about you when you contact us about my event management courses and consultancy services via our website, email, phone or post. In this case the personal information we collect about you is your name and email address, company name, event planning experience and the courses or services you are interested in.
How to design, plan and deliver successful events newsletter sign up
You can sign up / subscribe to our event planning newsletter. This is an opt-in newsletter sent out to subscribers twice a month. In this case the personal information I collect about you is your name and email address.
If you are on my email newsletter circulation list you have either signed up to it, are a current client of mine or we have met an exchanged contact details at an event. You therefore have a historical legitimate interest in our event planning work and are receiving and opening our email communications.
You can opt-out (unsubscribe) at any time and will no longer receive the newsletter. When you unsubscribe or opt-out you will be taken to a webpage where you can complete the opt-out process. You will be retained in a ‘suppression list’ for the purpose of ensuring they do not receive further emails and that your preferences are respected in the future.
On line transactions
If you buy an on line course via our website your card information is collected by a third party payment processor. We use Stripe who specialise in the secure online capture and processing of credit/debit card transactions. I do not know or keep your accounts details.
End of course feedback forms
If you have attended an event training course of ours we may ask you to complete an end of course feedback form. The form asks for comments about the course and asks if you consent to being placed on my event planning newsletter. This is an opt-in system – you agree to consent to receiving the newsletter. If you have said yes: consenting persons are asked to provide their name and email address. I will then input their details into my email marketing system. You can opt-out / unsubscribe at any time.
You have entered a competition, prize draw, promotion or survey;
Once a year we may run a competition, prize draw or promotion at an event we are exhibiting at or via our email marketing system. To enter / be eligible individuals are asked to enter their name and email address. You can opt-out / unsubscribe at any time.
You have bought a course or product
If you have bought a course or product (e.g. a book) we may email you from time to time to offer practical help and or assistance if required.
You can ask us to stop sending you marketing messages at any time by either clicking the opt-out link in the email or emailing us at chris.powell@theeventexpert.co.uk at any time.
If you opt out of receiving marketing communications this opt-out does not apply to personal data provided as a result of other transactions, such as purchases, warranty registrations etc.
How will we use the information about you?
We collect information about you to process your enquiry and, if you agree, to email you my How to design, plan and deliver successful events newsletter which may also contain other services we think may be of interest to you. We use the personal data you supplied when you opted-in to our email marketing system or enquired about our services.
The legal basis for the processing of your personal data is our legitimate interest in engaging in business with you (namely to grow our business) and responding to enquiries and messages. You have provided this data in order to receive information about our services, pay for an on line course and receive our newsletter. This may lead us into entering into a service contract with you.
Information disclosure to third parties
The Event Expert does not sell or rent your information to third parties for marketing purpose.
We do necessarily share your information with the following third parties
- Payment processors: Stripe for secure credit card payment transaction. Payments are made for the purchase of any of my on line event courses via our website. I do not know or keep your accounts details.
- Email marketing service providers. We use Campaign Monitor software to send out our newsletter.
- When we are required to do so by law and in connection with any legal proceedings.
Personal data security and confidentiality
We take appropriate technical and organisational security measures to protect your personal information against unauthorised or unlawful use and accidental loss, disclosure, alteration, or destruction.
We do not share your personal data with any third parties, we use secure servers, seek to verify the identity of anyone requesting access to information and use Secure Sockets Layer (SSL) Software. Our computers are password protected and there is no public access to the office where paper copies of certain information may be stored.
International transfers of your personal information
All your information is stored in the following European Economic Area countries (EEA): UK
Other than to comply with any legal obligations we do not intend to transfer your information outside the EEA. In the very unlikely event we have to transfer your personal data out of the EEA, we do our best to ensure a similar degree of security of data by ensuring that adequate safeguards are in place.
Some of our third parties service providers are based outside the European Economic Area (EEA) so their processing of your personal data will involve a transfer of data outside the EEA.

How long do we retain your personal information?
We will retain your information for as long as you consent (opted-in) to remain in contact with us: to perform a contract and to maintain any required tax records and our legitimate interests as a business. We review our retention periods for personal information on a regular basis
For tax purposes, the law does require us to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers.
Children
My website is intended for adults only. We do not knowingly collect personally identifiable information from children under 18 without permission from a parent or guardian.
Sensitive Personal information
We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data. We do not collect any information about criminal convictions and offences.
Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract (for example, to deliver goods or services to you). If you don’t provide us with the requested data, we may have to cancel a product or service you have ordered but if we do, we will notify you at the time.
We will only use your personal data for a purpose it was collected for or a reasonably compatible purpose if necessary. In case we need to use your details for an unrelated new purpose we will let you know and explain the legal grounds for processing.
