The Event Expert: Event Management Case Study
For the past year, 60 colleagues from SERCO Defence, Science and Technology have been tasked with introducing a new way of working into their organisation.
The project was a huge success. With the new systems delivering the desired efficiencies, the Project Director was keen to find a way to thank all of those involved for all their hard work.
He found a suitable venue, agreed a convenient date and time, sourced accommodation for everyone, selected a dinner menu and prepared his ‘thank you’ speech.
But something was missing – a fun, fully participatory and uplifting activity to end the evening. We got a call.
So, how did we help?
Trying to find an activity which involves everyone all of the time does require some thought. We had a chat to the Project Director who carefully explained what the project team members would like, or would feel comfortable taking part in.
Time was really not on our side so we really needed to use our knowledge of the events industry to find a suitable activity.
We pitched for a Drumming Workshop – it was fun, totally inclusive and everyone could take part in it at the same time. Selling the idea to the Project Director wasn’t going to be easy – we knew this was not the sort of thing they did! We pitched the idea and guess what – they said yes!
We booked the artistes, liaised with the venue and catering staff, planned the ‘get in’ and managed the event. We were also able to plan it so that, apart from the Project Director, nobody else in the room knew it was going to happen so it came as a complete surprise.
It was a fabulous and fitting end to a great evening.
In the words of the project director – “This was an important celebration of a project involving a large number of people who had given up a lot and outperformed my high expectations so it was crucial that they could get a real feel that the organisation did appreciate their efforts.
Your organisation and behind-the-scenes work was outstanding with nothing being too much trouble. I’m so glad I took your recommendation of the Drum Café – I could not have believed it would be so much fun! It was also great that you were able to pull off the arrangements and organisation both before and on the night without anybody getting wind of what was to follow!
I have had so many people come up and tell me ‘how much fun they had had’ and ‘how inspired to do something like that’ a great endorsement of your professionalism and understanding of my requirements.”
