The Event Expert: Event Management Case Study
The organisers and trainers of the Basingstoke Under-15 boys rugby team had always harboured the desire to hold a rugby sevens competition for clubs based in the south of England.
Having attended many Sevens competitions over the years, the Basingstoke Under-15 rugby team felt it was their turn to host the event. Sending a team to compete is one thing, organising the whole thing from scratch is an entirely different prospect! They needed help. We got a call.
So, how did we help?
We met the trainers and by using our experience of sports events, we were quickly able to help them establish what was possible. After a little research and a conversation with the Rugby Football Union we came up with a competition format, that we thought would be of interest to other clubs in the area.
We would have 3 pools of 5 teams playing each other in the pool stages, with the top 2 and the 2 best placed losers going through to the knockout stages.
By using the clubs existing contacts we set about recruiting 15 teams, enlisting the help of the referees, first aiders, pitch marshals and car park attendants. We also prepared the competition schedule and ran the competition on the day.
Fifteen teams arrived for at 10.00am start.
Each played a total of 53 games with the final game finishing exactly on time at 4.00pm. Apparently, according to popular rugby folklore the clubs’ trainers had never before attended a rugby tournament that had ever finished on time!
